Minutes turns meeting audio into transcripts, summaries and action items using AI. By using the app you agree to these terms. Please read the two disclaimers below carefully — they cover what the AI can get wrong, and exactly what happens to your data.
1. AI accuracy — always verify
Transcripts, speaker labels, summaries, action items, insights, translations and assistant answers are all generated by AI. They may contain errors, omissions, or confident-sounding statements that are simply wrong.
Accuracy is especially affected by:
- • Background noise, crosstalk, or people speaking over each other.
- • Accents, fast speech, and Dhivehi/English code-switching in the same sentence.
- • Names, places, numbers, dates, amounts and reference numbers.
- • Who said what — speaker labels are an estimate and can be attributed wrongly.
Do not treat the output as a certified, verbatim, or legal record. Always check important details against the original audio before relying on, sharing, or acting on them. The app is a productivity aid, not a substitute for an official minute, a court or medical record, or professional advice.
The general assistant answers from its own knowledge. It can be out of date or mistaken, and it is not legal, medical, financial or professional advice.
2. Your audio is not stored
Recorded and uploaded audio is deleted as soon as your transcript is produced. It is held only for the few moments it takes to process, then permanently removed from storage. This applies to every plan.
Voice questions you ask the assistant are transcribed and never saved as audio. If a transcription job fails, delete the meeting to remove its audio immediately.
To transcribe it, your audio is processed by Atoll Mind Model, our AI running on third-party infrastructure, to generate your transcript (see §5). It is never shared with other users or sold to anyone.
3. Who can see your meetings
No other user can ever see your data. Every meeting, transcript, summary, action item and task is tied to your account, and access is enforced in the database itself (row-level security) — not just hidden in the interface.
For honesty, two exceptions you should know about: the app operator (administrator) can access account data where necessary to run the service — for support, verifying a bank transfer, or investigating abuse — and our servers necessarily process your content to produce your notes. The service is not end-to-end encrypted, so please do not upload material you would not be comfortable with the operator being able to access.
You can permanently delete all of your meetings, transcripts and summaries at any time from Settings → Delete my data.
4. Security
- • All traffic between your device and the app is encrypted with HTTPS/TLS.
- • Your data is encrypted at rest by our hosting provider (Supabase).
- • Row-level security scopes every database row to its owner.
- • Audio is stored in a private bucket, never publicly readable, and deleted after use.
- • Accounts are protected by password or email magic-link sign-in.
No online service can promise perfect security. We take reasonable measures, but we cannot guarantee that the service will be free of vulnerabilities, and you use it at your own risk.
5. AI processing & third parties
Audio and text are processed by Atoll Mind Model — our AI, which runs on third-party AI infrastructure — to produce transcripts, summaries and assistant replies. To do this, your content is sent to that infrastructure provider and handled subject to their terms. Dhivehi speech is spoken back using a self-hosted voice service. We do not sell your data or use your meetings to train our own models.
6. Recording consent
You are responsible for obtaining any consent required by law or by your organization before recording or uploading audio of other people. Rules on recording conversations differ between countries and jurisdictions. Only record or upload audio you have the right to process.
7. Usage limits
- • Maximum upload size: 200 MB per file.
- • Supported formats: mp3, m4a, mp4, aac, ogg, wav.
- • Length per meeting: record up to 1 hour · upload up to 2 hours (Free: 30 minutes).
- • Meetings over 1 hour transcribe on the Atoll Mind Standard model (no speaker labels).
- • Monthly transcription: Free 2 hours · Pro 20 hours.
- • Speaker-labeled Atoll Mind Pro model covers the first 30 minutes (Free) / 10 hours (Pro) each month; remaining minutes use the Atoll Mind Standard model.
- • Voice assistant: 3 free questions per day.
Limits may change over time. Very long, quiet or low-quality recordings may fail to process.
8. Acceptable use
- • No unlawful, harmful, infringing or abusive use.
- • No automated or bulk abuse, and no attempts to circumvent the limits above.
- • One account per user; no account sharing. Fair-use caps apply even where a plan is described as “unlimited”.
9. Plans & payment
The Pro plan is paid by bank transfer and verified manually — access begins after your payment is verified and runs for the stated period. Fees are non-refundable except where required by law.
10. Availability & liability
The service is provided on an “as is” and “as available” basis, without warranties of any kind. To the extent permitted by law, we are not liable for any loss arising from use of the app, from inaccuracies in AI output, or from downtime.
11. Changes
We may update these terms; the “last updated” date above shows the current version. Continued use of the app means you accept the latest terms.
