Actions: the meeting Actions tab and the Action Centre

Overview#

Yaumiyya finds follow-ups in each meeting and proposes them as AI drafts. Nothing lands on anyone's list until the owner approves it. Approved actions get a reference number (ACT-YYYY-NNNN) and can be dated, prioritised, assigned, commented on and moved through To do → On-going → On hold → Done. The Action Centre (/actions) gathers actions from every meeting.

Purpose#

To turn what was promised in a meeting into tracked, owned work.

Who uses it#

  • Meeting owners, who approve and assign.
  • Assignees, who update status and acknowledge.
  • Anyone checking what is outstanding.

How to use#

  1. Open a finished meeting → Actions tab. Review the AI drafts; Approve each correct one (or Approve all).
  2. For each approved action, set a due date, priority and assignee.
  3. Move it through statuses as work progresses, answering the note prompt.
  4. Use Activity to comment; the history records every change.
  5. Use the Action Centre to see everything across meetings; filter by status or priority.

Example scenario#

Four drafts from the Digital Services meeting were approved as ACT-2026-0001 to 0004:

  • ACT-0001 "prepare the updated testing checklist": 9 Oct, High, assigned to Me, On-going with the note "Drafting checklist sections for upload, progress indicator and accessibility checks", plus a comment.
  • ACT-0003: 12 Oct, Urgent, translated to Dhivehi.
  • ACT-0002: 15 Oct, Medium.
  • ACT-0004: Low, marked Done ("Timeline updated with the usability testing window and the November deployment slot").

The Action Centre then showed Later (3) and Done this month (1).

Expected result#

Approved actions appear on the meeting and in the Action Centre, the Actions nav badge counts actions assigned to you, and every change is recorded in Activity.

Important notes#

  • Owners and deadlines from the minutes are not carried over. The minutes listed "Responsible: Mariyam Shifa, Deadline 9 October", but the approved action started "On nobody's list" with no date; these had to be set by hand. (Observed.)
  • The history reads "You gave it to you" after self-assignment (awkward wording). (Observed.)
  • The Activity drawer did not close with Escape in the automated browser; use its Close button. (Observed.)
  • Assigning to other people, acknowledgement (Got it / Needs clarification), @mentions and the Waiting on others view need other team members. NOT VERIFIED in the UI (VERIFIED THROUGH CODE: `components/actions/`, migrations 0067/0102).*
