Series

Overview#

A series groups the meetings of one body, such as a weekly ops meeting, a board or a committee. Each series has its meetings, the open actions you add to it, its decisions, an AI-generated next meeting's agenda, and Ask about this series.

Purpose#

So that each meeting starts from what the last one left open.

Who uses it#

Secretaries and chairs of recurring meetings. Series are private to their owner.

Interface explanation#

  1. Ask about this series: opens the Assistant scoped to the series.
  2. Rename · Archive · Delete (icon buttons).
  3. Add meetings.
  4. New meeting in this series: /new?series=<id>, which shows "Will be added to: …".
  5. Add actions: pick open actions to carry forward.

Below these are Meetings (with minutes status, e.g. "Approved · Version 2"), Open actions (each with Remove), Decisions, and Next meeting's agenda.

How to use#

  1. On a meeting, press Add to a series → New series… → type a name (max 100 characters) → Add. The header then shows Part of: <series>.
  2. Open the series (from Home's folder card or Actions → Series).
  3. Add actions → tick the open actions → Add N.
  4. Generate the next meeting's agenda · 2 credits. Review it, then Copy or Regenerate.
  5. When the next meeting happens, use New meeting in this series. The agenda is attached free to that meeting.

Example scenario#

The series Digital Services Improvement Programme holds the Digital Services meeting, ACT-2026-0001, 0002 and 0003, and DEC-2026-0001. The generated agenda had eight items:

  1. Updated Testing Checklist (ACT-2026-0001, due 2026-10-09)
  2. Compilation of User Feedback
  3. Unresolved Technical Issues
  4. Deployment Readiness
  5. Current Progress
  6. Upcoming Implementation Tasks
  7. Next Milestones

Expected result#

On Home the series appears as one folder card. The agenda cost 2 credits (credit activity: "Series agenda −2").

Important notes#

  • After Add N in the actions picker the open-actions list updates by itself within about a second. (Re-tested; an earlier note that a reload was needed came from checking too soon on a cold development server.)
  • Rename, Archive/Unarchive and Delete series were not exercised (VERIFIED THROUGH CODE: components/series/series-view.tsx).
  • Series and the "Ask about a series" scope are owner-only (/series/<id> returns 404 for others; VERIFIED THROUGH CODE).
