Workflow 3: Approve and track actions

Last updated 30 September 2026

On this page
  • Goal: turn the AI's draft follow-ups into dated, prioritised, owned actions and keep them moving.
  • Performed in the browser: yes (self-assignment only; assigning to other people needs team members).

Step-by-step, without the animation
  1. Step 1 The minutes found four follow-ups

  2. Step 2 Approve them to put them on the list

  3. Step 3 Give an action a due date

  4. Step 4 Set how urgent it is

  5. Step 5 Record progress as you go

  6. Step 6 Follow every action in the Action Centre

Step 1: Approve drafts#

Meeting → Actions tab → Approve each right draft, or Approve all. A toast confirms ("3 approved.").

Step 2: Set a due date#

Click the calendar icon → Today / Tomorrow / Next week, or Pick a date → Set (ACT-2026-0001 → 9 Oct).

Due date

Step 3: Set priority#

Click the flag → Urgent / High / Medium / Low / No priority.

Priority

Step 4: Assign it#

The assignee list offers On nobody's list or Me (and team members when you have them). ACT-0001 shows "On your list".

Step 5: Record progress#

Change the status to On-going. The app asks "What are you working on?"; type a note → Save. For Done it asks "What was done?".

Step 6: Discuss in Activity#

Activity opens the history and a comment box. Type → Send. Every change is listed: found in the meeting, approved as ACT-2026-0001, due date, priority, assignment, status.

Activity

Step 7: Follow everything in the Action Centre#

Actions (bottom bar) shows all actions across meetings, bucketed (Later, Done this month…), with Status and Priority filters.

Action Centre

Result#

Four tracked actions with dates, priorities and one completed. The Actions badge in the bottom bar counts the one assigned to you.

Note#

Owners and deadlines named in the minutes are not copied onto approved actions; set them as above.
