Overview#
After Transcribe, the meeting page shows a processing card until the transcript and notes are ready. If something goes wrong, a failure card explains what happened and what you can do. Credits for failed work are refunded.
Purpose#
To show honest progress for background work and give a specific, actionable reason on failure.
Who uses it#
The meeting's owner (processing controls are owner-only).

Processing card
- A headline and caption for the current stage, e.g. "Every word is finding its place." / "Atoll Mind Model is turning your conversation into notes."
- "You can leave this page. We'll keep working on your meeting."
- Pause animation.
- Having trouble?: owner-only; clears a job that is stuck (per source, jobs get 10 minutes first).
Failure card: a title, a plain-language explanation, and an action button where one applies (Retry, Upload again, Upgrade, Buy credits, or "Write the notes again").

Online-meeting bots have their own stage messages (requested, joining, waiting "Let {name} in… it leaves after 5 minutes", recording, ended) and a Remove {bot} from the call button. (VERIFIED THROUGH CODE)
How to use#
- After pressing Transcribe, wait on the meeting page or leave it. A notification also arrives when the transcript is ready.
- If a failure card appears, read the title and follow its button. See the full list in Status reference.
Example scenario#
- The 2 min 49 s synthetic meeting went from Transcribing to Done in under 10 seconds.
- A 20-second near-silent clip, "Conference Room 2 microphone check", failed with "We couldn't hear any speech. The recording is silent or too quiet to transcribe. Check the microphone, or that the right file was uploaded." The credit activity then showed "Unsuccessful transcription refunded +1".
Expected result#
Success: Summary, Transcript, Minutes, Actions and Insights tabs appear, plus a "transcript is ready" notification. Failure: a failure card, a Failed chip on Home, and a refund in credit activity.
Important notes#
- Retry is offered only while the audio is kept: failed-job audio is retained for 24 hours, then deleted (landing-page FAQ; migration 0098). After that the card says "The recording is no longer stored."
- Uploaded audio is deleted as soon as the transcript is saved. A playback copy stays in your browser only (Settings → Recordings on this device).
